How to protect the privacy of photo subjects

The Informed Consent Policy for Photo Subjects applies to all people who may be identifiable in photos. The policy requires you to ensure that permission has been given by the adult subject of a photo – or the parents or guardians if the subject is a child under 18 years of age – to use their photo for agency purposes. This is to protect the subject’s right to privacy.

All photos uploaded by Registered Users must meet the following criteria:

  1. Photos of identifiable adults are used only with the express and informed consent of that individual.
  2. Photos of identifiable children under 18 years of age must have informed consent from the child’s parents or guardians.
  3. Photos must promote both the dignity and the rights of the population and the photo subjects.
  4. Photos of individuals shall protect the subject’s right to privacy. As such, unique photo information will not include individual’s personal information, including but not limited to names, locations and medical information.
  5. Photos may include location information down to the township level, but not below this level. The Photo Archive will strip all location metadata from the original file during the upload process.

How to use the search tool

The search tool can help you find the photos and galleries you’re looking for. Only photos matching all entered criteria will be displayed. Searches are not case sensitive.

The search criteria:

How to upload photos and apply unique photo information

Photos can be uploaded only by Registered Users. Click on your name in the top right corner of the screen and select the “Upload” tab.

Once your photos have begun the upload process, be sure to click on each photo individually to add relevant information to it (the Unique Photo Information).

The required information for each photo is as follows:

  • Title: Brief description of the general context of the image.
  • Photographer: The original creator of the photo (photographer or organisation) who must be properly acknowledged upon any/every use of the photo. If the photographer is unknown, attribute your organisation.
  • Location: Country, State/Region and Township name. Please select the auto-suggested location when possible.
  • Date Taken: Date when the image was captured (DD-MM-YYYY)

Day is only for the upload process and only the Month and Year will be visible to the public.

  • Caption: A clear description of the contents of the photo with relevant information giving context to the shot. Note that names of persons cannot be included.
  • Keywords: Used to find your photo via the search tool. Keywords should be relevant to the photo but must not identify subjects or exact location (e.g., no addresses, street names, house numbers, wards, etc.).
  • Copyright: Includes the name of the original creator and the contributing organisation who commissioned and uploaded the photo.

The differences between unique photo information and gallery information

Unique photo information is the set of info for an individual photo, which can be applied by clicking on a photo before pressing the “Upload” button. We recommend that you add unique photo information to each uploaded photo as this vastly improves the effectiveness of the search tool.

Galleries are collections of photos uploaded by one Registered User on a particular theme or context. Galleries can be created in the pop-up box after pressing the “Upload” button. Each gallery requires Gallery Information summarising the photos inside the gallery. Gallery Information does not overwrite existing Unique Photo Information but will automatically be applied to a photo without Unique Photo Information, limiting the User information on your uploaded photos. Please be sure to add Unique Photo Information to each uploaded image and not to use Gallery Information as a substitute for Unique Photo Information.

How to properly attribute a photo

All photos included in the MIMU Photo Archive must include attribution recording the name of the original photographer/organisation. The attribution format is as follows:

Photo by [name of photographer]/[name of organisation]; [any related/involved partner organisation(s)]; Location [township, state, country]; Date Taken [month-yyyy]. Via photo.themimu.info

[Any other attribution information made available on the download page of each individual ]
